Please note this is a 12-month fixed term role
This role will support two key programmes within the Public Engagement team at Factory International - the Neighbourhood Organiser Programme and the Community Partnerships Programme. The role holder will utilise excellent communication skills, administrative skills and systems to enable the Public Engagement team to deliver more efficient and impactful programmes in community centres and other settings in neighbourhoods around Greater Manchester and support Factory International in our objective to working alongside local people to create more opportunities for people to access arts and culture.
The key responsibilities for the Community Engagement Assistant role include;
- To support the delivery of events and projects across a range of activities, including administration and planning practical event delivery and on-the-ground assistance
- To work closely with the Community Partnerships Manager, Community Connector and Head of Engagement to utilise and develop administration skills and systems to effectively support key programmes of work
- Liaising with other departments, internal and external suppliers, partners and other stakeholders, communicating effectively, and providing up-to-date and accurate information
- Providing general administrative support to financial processes. This includes efficient and accurate processing of invoices, float reconciliations and raising purchase orders as required
- Researching and collating information for projects, events and distributing that information, keeping it up to date on our systems
- Daily usage and administration of the organisation’s various systems, ensuring good data standards and accuracy of information including Spektrix, Artifax and dropbox (training will be provided for those not familiar with these systems)
- Organising and collating programme data, ensuring it is up to date and ready to be reported on
- Assist with the administration of free and discounted ticket distribution
- Prepare relevant information and take minutes as required for meetings
- Keeping Neighbourhood Organisers and Community Partners up to date with different opportunities and call outs, as well as sharing information
- To act as a representative of the Public Engagement team with key community stakeholders, supporting them and feeding back key information to the Public Engagement team
The person specifications for the Community Engagement Assistant role are;
ESSENTIAL
- Excellent time management and organisational skills with attention to detail
- Excellent communication skills
- Strong IT skills and/or enthusiasm and ability to learn new systems and processes
- Ability to manage multiple priorities and meet deadlines
- Proactive and flexible approach and a positive and enthusiastic attitude
- Commitment to championing representation and inclusion at every level of the organisation with a proven ability to work with people from a wide range of backgrounds
DESIRABLE
- Ability to work on own initiative as well as part of a team
- Enthusiasm for training, mentoring and support of emerging talent
- Experience working in a community setting or communicating with a range of different stakeholders
Extra Notes
The job has room for lots of transferable skills- primarily an admin role, but what really is key is an enthusiasm for community and outreach and the desire to support an organisation to facilitate better connections within our community
